4D e-booking system helps council department meet government targets and increase revenues by over 10% in its first year.

 

The Challenge

To increase revenue and meet government targets for getting all services online under the 'Customer First' and 'Best Value initiatives'.

The council of London Borough of Richmond upon Thames (LBRUT) books out a range of venues for events such as weddings, conferences and internal meetings. Bookings come from commercial events, the public and internally from council business.

Because of the revenues involved and the pressing need to make operations more professional and available, LBRUT decided to replace their manual diary system and implement a more efficient system that allows people to 'Look and Book' online.


The Solution

New e-booking system installed that can take bookings over the web, auto email confirmations, manage the accounts and provide management information on venue usage and revenue.

LBRUT decided the new system had to be both online and fully integrated with its existing web site, intranet and systems. After evaluating a number of solutions. They chose CYG-NET, an e-booking system developed in 4D by Sci-Do Computing.

CYG-NET is a comprehensive integrated suite of modules for managing events. Internal staff can use the intranet calendar/diary to check availability, room capacity and access. They can book meeting rooms, order equipment, specify room layout and order catering online 24/7, securely and seamlessly.
Auto emails to users confirm the details. Paperwork has been reduced to a minimum and information is accurate and up to date.

For external bookings the public can check availability - http://www.richmond.gov.uk/weddings - then make a booking quickly and easily. Invoice details, automatic receipts and customers bookings are managed. Detailed statistics on room usage and income generated from each venue can be produced so management staff can see which rooms are the most profitable and which need better promotion.


The Reward

4D system helped the council to get the service online, increase the revenue of the weddings and conference management department by 10% and meet government targets on time and within budget.
